FinanceVault Timeline

Help clients see the big picture

Our Timeline feature is a client-side tool that displays progress through a process which, from the client's perspective, can sometimes appear lengthy and somewhat mysterious. BrokerEngine's Timeline is designed to remove that mystery. It improves the client experience by keeping them informed as their application progresses within BrokerEngine.

This article demonstrates the Timeline feature from the client's perspective and shows you how to customize settings on the admin side.

By default, the FinanceVault Timeline feature is disabled. To access this service on your account, contact the BrokerEngine support team with a request, and they will enable the feature for you.

Understanding the client side

Let's first look at the client side to understand the value of the Timeline feature. In this scenario, the broker used FinanceVault to send the lead a bundle of document requests to review and complete.

The lead received an email notification and clicked the link in the message to open their BrokerEngine page. After clicking the link, a new browser tab displays the Urgent Action Requests page and a list of the documents.

If the client clicks the next menu link, called Doc Requests in the above screenshot, the page shows the workflow required to complete this stage. The client can view and move through the timeline steps by clicking menu links. Timeline content varies by stage and can be customized by the broker or broker team.

BTW, Doc Requests is a default name. You can customize that label on the admin side. See below.


Understanding the admin side

Brokers and their teams can customize the timeline. You can control which steps display on the client timeline (and when), the image in each timeline block, and the descriptive text.

Opening the settings panel

First, open the FinanceVault Timeline settings panel.

  1. Log in to BrokerEngine and go to the bottom left corner of the page.

  2. Click the account icon, and select Settings.

  3. Scroll down, expand the Workflow folder, and select Boards and Stages.

  4. On the next page, select a board (e.g. Leads, Deals, etc.). In this example, I select Leads.

Now, complete three more steps.


Step 1 Configuring board visibility settings

Scroll down to the FinanceVault Visibility heading and review or change the settings in three fields.

Field 1

The default setting is Always Shown, which means the client can see the board when their card is on any stage.

Field 2

Another option is Only shown if application moves into board. Choose this option to simplify the client-side timeline and display only the most relevant information. If selected, the page unhides another option.

Check the box to hide all other stages on the timeline. The third option is Always hidden. This is a good selection if you want to hide stages related to your business, like Attemped Contact 1.

Field 3

Enter a short sentence or title. The client-side timeline displays this text near the top of the client-side workflow.


Step 2 Selecting a stage

Scroll down to the Stages heading and select a stage. Then, scroll down to the FinanceVault heading to configure timeline settings for that stage.

Optionally, click and drag a hamburger icon to change the order of stages or add a new stage to the board.


Step 3 Configuring timeline settings

In this section, review and update five optional fields.

1 You can change the default timeline name displayed on the client side. Check the box and enter a new name.

2 Set stage visibility. Same options as above.

3 Add media to the stage. Click the Choose image button to select a library image and replace the default. Optionally, enter the URL of a video.

4 Upload one or more attachments to the step.

5 Add descriptive text that helps clients understand this step.
