Control user access, data management and settings within BrokerEngine

Users with Super User permissions can manage other permissions from the User Management page. Super Users can control user access to:

  • types of client data

  • feature settings

  • user integration and security settings

Prerequisites

Access to the User Management page is disabled by default. To enable this feature, contact the BrokerEngine support team and request access to Super User permissions. Users with other permission levels (e.g. Standard User) cannot access the User Management page.

Only the business owner (or a user designated by the business owner) can have Super User permissions.


Opening the User Management page

Go to the bottom left corner and click the account icon. In the Settings column, select User Management.

The User Management page lists users within your broker group. The list includes each user's member type and permission level. Click a name to view and edit user permissions.


Managing user settings

A popup window displays the current Permissions settings plus three other menu tabs:

  • Permissions

  • Integrations

  • Security

  • User Details

Permissions

Use the toggle to enable or disable a permission. Super users can also restrict user access to data within the broker group.

  • Can Export to CSV - If disabled, the platform hides the Export View function. The user cannot export any data from BrokerEngine.

  • Can Edit Workflow - If disabled, the platform hides the Workflow folder on the user's Settings page. The user cannot edit templates (i.e. Workflow, Email, or Task) or Boards and Stages.

  • Can Edit Checklist - If disabled, the user can see the Checklist tab on the Settings page but cannot add/edit Checklist template items. On each deal page, the platform hides the Manage Checklist option on the Checklist menu.

  • Can Edit FinanceVault - If disabled, the platform hides the FinanceVault link on the user's Settings page. The user cannot configure options (e.g. rename FinanceVault attachments) or edit email templates.

  • Can Edit Lenders - If disabled, the user can see the Lenders page (Settings > Lenders) but cannot add or edit lender details (e.g. broker code, phone number, BDM details, etc.).

  • Can Edit Products, Packages, and Offers - If disabled, the platform hides the Products, Packages, and Offers tabs on the Settings page.

  • Can Edit Fact Find Templates - If disabled, the platform hides the Fact Find Templates link on the Settings page (Settings > Fact Find > Templates). The user can use FinanceVault fact find templates (view and enter data as a user) but cannot create new fact find templates or edit existing ones.

  • Can Edit Proposal Templates - If disabled, the user can select and apply proposals within a deal but cannot create their own proposal templates or edit existing ones.

  • Can Access Email Outbox - If disabled, the user cannot access the Outbox feature.

  • Can Edit Roles - If disabled, the platform hides the Team Roles link on the Settings page (Settings > Team Roles). The user can add or remove Team Roles on a Lead or Deal card.

  • Can Edit Doc Stacks- If disabled, the platform hides the Edit icon next to document names in the Client Portal. The user can see and use these documents but not make changes.

Accessing user data

Scroll down to this section to manage user access to records within the broker group. By default, users have access to all records.

To limit access, select the Only the selected User Records option. The platform auto-fills the field with the user's name. To add records associated with one or more other brokers, click the field and select names.
