There's a wide range of notifications you can subscribe to in your account. Here is the info to set the right notifications for you.

What are BrokerEngine Notifications?

These are the notification emails the system can trigger to be sent to you or other users within your account of the back of an action within BrokerEngine.

There are a wide range of notifications you can subscribe to, however, we don't recommend having all of them turned on as that would most likely lead to your email inboxed getting spammed. Rather, be selective with what notifications are going to serve you best.

How to Change Your Notification Preferences:

  1. Click on your initials in the bottom left corner of your screen

  2. Select 'Notifications'

  3. Tick the boxes of the notifications you would like turned on

  4. Click 'Save' at the bottom right of your screen

Here's a breakdown of the notifications options:

  1. Any note is made on a Lead or Deal assigned to you
    Switching this notification on means that whenever a note is made on any lead or deal you are set as the 'Broker' on, you will receive an email of the note. Most users have this option turned off as it can result in a landslide of email notifications if your team are very active with making notes. Instead, you have the option to 'Notify' on an ad hoc basis if there is a particularly important note you would want to send as an email notification to someone within your team.

  2. Any Task is Assigned to You
    We have specific recommendations for this notification depending on the type of BrokerEngine user you are.

    For Admin and Loan Processing users, we recommend having this notification switched off. One reason being that the team should ideally be working out of the task list all day as the daily 'to do' list. Another reason is that generally, the majority of the tasks will be tasks for the team to action, resulting in a lot of emails being triggered to your inbox and as we all know, the more email notifications you get, the less useful they become.

    For Broker users, we recommend having this notification switched on. Unlike Admin and LP users, BrokerEngine isn't meant for Brokers to be inside the system all day long actioning tasks. There will be a small number of broker assigned tasks and therefore an email notification when it's time for the broker to action a task in BrokerEngine is very useful.

    Of course, take the above advice with a grain of salt, at the end of the day it's totally up to you to choose how you would like to manage your email notifications.

  3. On FinanceVault, an applicant, guarantor or related party clicks "I'm Done" for any deal assigned to you

    We recommend this is kept on for all users. We have some groups where the brokers will turn this notification off for themselves, but that's only if there is an Assigned Team managing the data collection and the proper workflows in place to redirect the notification to the team.

  4. On FinanceVault, an applicant, guarantor or related party clicks "I'm Done" for any deal assigned to any of your teams
    We highly recommend this is kept on for all users.

  5. On FinanceVault, an applicant, guarantor or related party creates a comment
    We recommend this is kept on for all users. We have some groups where the brokers will turn this notification off for themselves, but that's only if there is an Assigned Team managing the data collection and the proper workflows in place to redirect the notification to the team.

  6. On the Fact Find, a client clicks "Submit" for any deal assigned to you

    We recommend this is kept on for all users. We have some groups where the brokers will turn this notification off for themselves, but that's only if there is an Assigned Team managing the data collection and the proper workflows in place to redirect the notification to the team.

  7. On the Fact Find, a client clicks "Submit" for any deal assigned to any of your teams
    We highly recommend this is kept on for all users.

Daily Email Notification

The daily email is the option to subscribe to a summary email that triggers once a day at any time you prefer with a summary of various information from your account. You choose from the below options what you would like included in this email:

  1. Lead assigned to you or any of your team becomes due
    This is referring to a lead you are set as the broker of OR any lead your team is assigned to having an overdue 'Stage Due Date' indicating it ideally should have progressed to a new stage by now.

  2. Deal assigned to you or any of your team becomes due
    This is referring to a deal you are set as the broker of OR any lead your team is assigned to having an overdue 'Stage Due Date' indicating it ideally should have progressed to a new stage by now.

  3. Deal assigned to you or any of your teams has a Finance date due in the next 2 business days and is not already approved.

  4. Deal assigned to you or any of your teams has a Settlement date due in the next 2 business days and is not already at stage "Settlement Booked"

  5. Any task that is assigned to you becomes due
    All overdue tasks that are currently assigned to you.

  6. Any task that is against a record assigned to you becomes due
    All overdue tasks related to a deal or lead that has you set as the broker.

  7. Any task that is against a record assigned to any of your teams becomes due
    All overdue tasks related to a deal or lead that is has your assigned team allocated.

  8. Any task you created becomes due
    This is referring to manual tasks, which are tasks that have not triggered automatically from the workflow but have been manually created by you and assigned to someone in your team.

Weekly Email

The weekly email is the option to subscribe to a summary email that triggers once a week at any day and time you prefer with a summary of various information from your account. You choose from the below options what you would like included in this email:

  1. Send Weekly Referrer List.
    Email with a list leads or deals from referrers created in the last 7 days

  2. Send Weekly Settlement List
    Email with a list of settled clients in the last 7 days

  3. Send Weekly Birthday List
    Contacts that have a birthday in the next 7 days

Client Portal (FinanceVault)

The Client Portal email is the option to subscribe to a daily email at your preferred time with a summary of your current ongoing FinanceVault document requests. It will provide a detailed breakdown of the deal name, how many docs are in draft, in progress, are approved and are rejected.
