Delegate responsiblity for leads and deals

If you have joined BrokerEngine recently you may not see the option to create Assigned Teams. We have redacted and replaced this feature with a more powerful Team Roles functionality. Users who joined BrokerEngine previous to the introduction of Team Roles still have access to the Assigned Teams functionality so as to not disrupt their workflow set ups. We encourage all users to switch to Team Roles as it has all the same functionality as Assigned Teams, plus more.


The Assigned Teams tool helps brokers be more productive. By delegating responsibility for routine tasks and processes (e.g. paperwork, follow-ups, or checklists), brokers can spend more time on high-value activities, like loan structures and prospecting. Another benefit is scaling. With a team structure in place (e.g. off-shore or in-house), brokers have more time to grow the business by increasing monthly settlements.

Creating a team

  1. Click the account icon (with your initials).

  2. In the Settings panel, select Teams.

  3. Click the Add Team button.

In the New Team window:

  1. Add a unique team name.

  2. Check one or both boxes. (optional, see below)

  3. Click the Team Members field and select one or more names. (see below)

  4. Click Add Team.

BrokerEngine adds the team to the list on the Teams page.

Using the checkboxes

  • Subscribe to Notes Feed - If checked, all team members receive an email when someone adds a note to a card assigned to the team.

  • Route emails To Team (not Broker) - All emails generated by a triggered workflow template are sent to the assigned team instead of the broker. This option is normally enabled.

Multiple team members

What is the optimal team size? That depends on your priorities and how your team is set up. One person per team is recommended if you value individual accountability. Creating a team with multiple members works well if your workflow, management structure, and training support a bucket approach to task management (e.g. the next available team member takes charge of the next task). Although more time might be required to train and support the team in the short term, the long-term upside is the potential for greater efficiency.


Assigning a team

To assign a team to a lead or deal:

  1. Go to the dashboard and open a lead or deal board.

  2. Select a card and double-click the applicant's name.

  3. Go to the Assigned Team / Team Roles folder.

  4. Click the pencil icon.

  5. Click the Assigned Team field and select an option. BrokerEngine auto-saves your choice.

Editing a team

To update team settings:

  1. Click the account icon (with your initials).

  2. In the Settings panel, select Teams.

  3. Locate a team and click the team name. A popup window displays.

  4. Make changes.

  5. Click the Update Team button.


Filtering a board

Use a filter to find leads or deals with a specific assigned team.

  1. Click the Filter icon in the top right corner of the page.

  2. Check the Assigned Team box.

  3. Open each board to see the card(s) with the assigned team.
