Learn how to delegate tasks inside an existing workflow or a custom template you are building from scratch.
This powerful feature lets you auto-assign tasks on a set-and-forget basis. When a card moves into a new stage, BrokerEngine automatically creates a task for the responsible party (i.e. broker or specific team member), team, or team role without the need for manual delegation.

Opening the Workflow Templates page
Log in to BrokerEngine, go to the bottom left corner, and click the profile icon. In the pop-up, select Settings. On the Settings page, expand the Workflow folder and select Workflow Templates.
Delegating a task to a role
In this step, assign a role to a task inside a template.
Locate the workflow template you want to edit.
Click the template name to open the editor.
If the workflow template is running, switch off the Published toggle.
Check a box to select a member or team. (see below)
Click Save.
Switch on the Published toggle.
Choosing an assignee
Check a box to select one of these options.
Assign to Broker: BrokerEngine assigns the task to the broker associated with the client.
Assign to Team: BrokerEngine delegates the task to the team assigned to the client card. If you select this option but don't assign a team to the client card, BrokerEngine leaves the task unassigned.
Assign to Team Role: BrokerEngine delegates the task to the team member assigned to the team role.
Another option
There is another way to delegate a task, but it has a distinct limitation.
You can assign a specific user name (rather than a role) to a task on a Task template. This option works well if you want the same person to be responsible for this task every time it appears on the platform. Unlike the Broker, Team, or Team Role options, assigning a person offers comparatively less flexibility when accommodating staff changes. Role titles remain constant even if the individual users associated with the roles change over time.
To assign a user:
Go to the Workflow folder and select Task Templates.
Click a task template name.
In the pop-up window, click Select next to Assignee.
Check the radio circle next to one name.
Click the X icon to close the window and keep the change. There is no save button.
Removing an assignee
To remove an assigned user, open the pop-up window, hover the mouse near the user name, and click the X icon.
