Create a Task Template

This article shows you how to create a task template.

Task templates save time by pre-filling fields with default responses that you would commonly use and enter manually. You could, for instance, create default text for the description and assign a specific person to the task. You can override template defaults when creating a new task.

Creating a template

The first step is to open a blank template. Log in to BrokerEngine, go to the bottom left corner of the page, and click the profile icon. Click Settings in the pop-up.

On the Settings page, expand the Workflow folder and select Task Templates. Click the New button. A pop-up displays.

Filling in the form

In the pop-up, enter a unique name for the task template. Add optional information (see below). Click Create Template. BrokerEngine closes the window and adds the template to the Task Templates page.

Optional fields

  1. Click the Assignee field and select a user. If you enable this feature, the template assigns the same user to every instance of this task. Leave the field blank if you'd prefer to assign a role rather than a user.

  2. Click the Priority field and change the level. The default setting is High.

  3. To set an estimated task time, hover the mouse over the time, click the pencil icon, and enter a time.

  4. Enter structured information in the Description field that shows the assignee the best way to complete the task.

  5. Upload a document to the task template.

  6. To ensure the assignee completes a checklist before completing the task, click the three-dot icon and select Link Checklist.


Editing a task template

To update a template, go to Settings > Workflow > Task Templates. The Task Templates page displays. Here, you can enter a full or partial word in the search bar to quickly locate a template.

Click a template name to open a pop-up. Update the template and click the X icon in the corner to save changes and close the window.


Deleting a task template

There are two ways to delete a task template.

On the Task Templates page, check a box next to a template name and click the Delete button.

The other option is to open the task template, click the three-dot icon, and click Delete Task.

  • If one or more workflows use the template, a warning displays. Click OK to continue, or click the X to close the pop-up without deleting the template. To delete the task template, you'll need to remove it from the specific workflow.

  • If the template is not connected to a workflow, click OK in the confirmation pop-up.
