Use templates to save time and avoid errors

Task templates save time by pre-filling fields with default responses that you would commonly use and enter manually. You could, for instance, create default text for the description and assign a person to the task. You can override template defaults when creating a new task.

Opening a blank template

Click the account icon with your initials.

  1. In the Settings panel, click Workflow.

  2. Click Task Templates in the drop-down.

  3. Click the New button. A popup displays.


Creating a template

In the popup window:

  1. Enter a unique name for the task template.

  2. Click the Priority field and set the level.

  3. Add optional information. (see below)

  4. Click Create Template. BrokerEngine closes the window and adds the template to the Manage Task Templates page.

Options

  1. Click the Assignee field and choose a name to assign the same person to every instance of this task. Otherwise, leave the field blank.

  2. To set an estimated task time, hover the mouse over the field, click the pencil icon, and set the time.

  3. Enter structured information in the Description field that shows the assignee the best way to complete the task.

  4. Attach a document to the task.

  5. To ensure the assignee completes a checklist before completing the task, click the three-dot icon and select Link Checklist.


Editing a task template

To quickly update a template, go to Settings > Workflow > Task Templates. The Manage Manage Task Templates page displays. Click a template to open a popup. Update the template and then click the X icon in the corner to save changes and close the window.


Deleting a task template

There are two ways to delete a task template.

On the Manage Task Templates page (see above), check a box next to a template name and click the Delete button. If one or more workflows use the template, a delete warning popup displays. Click OK to continue or the X to close the popup without deleting the tasks. If the template is not connected to a workflow, click OK in the confirmation popup window.

The other option is to open the Tasks page and locate a template. Click the three-dot icon, and click Delete.
