Add referral reminders to the workflow

The Move Me In feature auto-sends reminders to your stage checklists. This means you spend less time managing referrals and take advantage of every referral opportunity. To get the most out of our Move Me In referrals, use our automation tools.

  • Workflows allow you to trigger an email when a deal reaches a specific stage.

  • Checklists allow you to create custom task lists for different client categories, product types, and deal stages.

Adding an email to the AIP-issued stage

The default Move Me In workflow template sends a soft introduction email for purchases (with a brochure attached) at the stage AIP Issued and the standard Your loan has been submitted email.

Below is the default Move Me In introduction email text.

Hi Kim,

When I last moved house, getting set up with phone, internet, electricity, Foxtel etc. was a painful process.

To help you avoid this, we have partnered with a utility brokerage called Move Me In. They offer a free service that allows you to connect all your utilities in under 10 minutes, including:

  • Electricity and gas

  • Telephone/Internet/Pay TV

  • Insurance

  • Removals

  • Solar and battery

Once you have signed a contract, I’ll make an introduction to Move Me In, should you wish to use their service. There is no obligation, but many of my clients have found this service useful to save them valuable time and money during the busy moving period.

Creating a template

To add an introduction email workflow:

  1. Click the account icon (with your initials).

  2. In the Settings panel, select Workflow.

  3. Click Workflow Templates.

  4. Type move me in in the search box.

  5. Click AIP Issued Move Me In. The Workflow Builder opens.

Go to the top of the Workflow Builder, click Duplicate, and then OK. BrokerEngine creates a copy of the workflow that belongs to you.

Configuring settings

We recommend these settings:

  1. Deal Stage Enters - Submitted for Pre-Approval / AIP.

  2. Trigger Conditions - Only trigger this workflow if the following conditions are met.

  3. Deal Type - Purchase.

  4. Apply Workflow to - Untick Entire Broker Group if you work with other brokers.

Configuring workflow steps

Go to Workflow Steps. Locate the card with the Move Me In email template. Click the three-dot icon and select Edit. The template displays.

Go to the top part of the template.

  • Make sure the From field has Broker and the To field has Client.

  • If you want to customise this email for your clients, untick the Entire Broker Group box.

Editing the message

Update the Subject line and email body. To add personalised touches (e.g. add your client’s first name), use the Mail Merge fields in the sidebar.

  1. Position the cursor where you want a personalised field and click the mail merge field name.

  2. Click Save Changes.

  3. Click Save at the top of the Workflow Builder

Testing and revising

Test the automation and message by moving a card into the stage. After confirming that BrokerEngine generates the email you expect, change the Send Option to Email Template Recipients.

Go to the top of the page, click Save, and then switch on the Published toggle.


Adding a referral item to a checklist

Adding a Move Me In referral to your Formal Approval checklist helps ensure you receive a reminder to refer a client to Move Me In once they reach the AIP-issued stage.

  1. Click the account icon (with your initials).

  2. In the Settings panel, select Checklists.

  3. Open the folder with the Formal Approval checklist. Depending on your setup, it could be in a file called Broker Group Checklist (Loan).

Scroll down to Formal Approval Checklist. Click the plus (+) to add an item to the checklist.

Enter a descriptive title, like Refer client to Move Me In.

Switch on the Checklist Item Display Criteria toggle. Go to the Display When Deal Type is field and select 1. Purchase. Click Add Item.

BrokerEngine adds the item and auto-saves the checklist.
