Upload documents and send them through the Client Portal

After integrating BrokerEngine and DocuSign, you can send documents to clients through FinanceVault. Clients complete and sign the documents in DocuSign. You receive a copy of the completed copies in BrokerEngine.

If you re-use the same document with other clients, you could add it to a document stack and set it up as a template in DocuSign. These steps would streamline the process of sending forms to your clients.

Prerequisites

  • Complete the DocuSign integration in BrokerEngine.

  • Ensure your digitally signable DocuSign documents are .docx or .pdf files. Other file types are not accepted.


Adding a document to BrokerEngine

  1. Select a lead or deal and open the Client Portal.

  2. Click ADD NEW DOC.

Click the Request Type field and select DocuSign.

  1. Confirm the Shared With field has the correct names. Optionally, click the field and add or remove names.

  2. Upload the document you want to share by dragging it into the shaded attachments rectangle. Or, click Click to upload and navigate to the file you want to share.

We recommend uploading only one document at this point. DocuSign creates a separate envelope for each document uploaded here. As DocuSign charges users per envelope, this can get expensive for you. Wait until the attachments step to add extra documents.

Configuring signature settings

Once the file upload completes, you can decide who should sign the document. Click Set up signatures. A popup window displays.

Check your browser settings if you can't see the DocuSign popup window. In many cases, the browser is blocking third-party cookies. To fix this, enable Allow all cookies or Block third-party cookies in Incognito.

Enter a Role for each recipient. If you set up the document as a template in DocuSign, use the same roles in the template. Ensure the recipients' names are the same in BrokerEngine and DocuSign.

Select a Recipient Type for each recipient. If you set up the document as a template in DocuSign, use the same recipient types:

  • Needs to Sign: The document won't be finalised until all recipients of this type have signed it.

  • Receives a Copy: This user gets a copy of the document when it's finalised.

  • [empty]: Share the document via FinanceVault only. BrokerEngine will not create a DocuSign envelope.

Click Next. BrokerEngine connects to DocuSign so that you can add documents to the envelope. A new window displays.


Adding attachments to your DocuSign request

Expand the Add recipients folder. Confirm the name and email address of each recipient. Optionally, add names to the list.

If you've added phone numbers to BrokerEngine for recipients, check the phone authentication settings for each recipient.

Adding a message

Optionally, expand the Add message folder. Review and update the messages as required. Click Next.

Adding tabs

Add the required Sign here tabs and Date fields to each document so the recipients know where to sign and date it.

Sending a document

Click Send when you're ready to send the documents. DocuSign sends you back to the Client Portal. Click Add Document.

  1. Click Review Request.

  2. Click PUBLISH & SEND TO CLIENT.

  3. Click OK.
