Send documents from BrokerEngine for e-signing

You might want to send documents to your clients so they can fill them out and sign them online. Rather than exporting those documents from BrokerEngine and then manually adding them to DocuSign, you can connect the two services. This allows you to choose any document in BrokerEngine and send it to a client using DocuSign – without leaving BrokerEngine.

Prerequisites

Before you get started, here's what you'll need to have in place so that you can fully integrate the two services:

  • A current DocuSign subscription with a minimum of a Business Pro plan. Personal and Standard plans do not support the use of document templates.

  • The DocuSign integration is enabled in BrokerEngine.


Configuring BrokerEngine

Confirming the email address

The first step is to confirm your login email address is the same as the account email address.

  1. Go to the bottom left corner and click the account icon.

  2. In the Settings column, make sure the Personal Detail tab is selected.

  3. Go to the Contact Details section.

  4. Check the email address.

If the email address on this page does not match your BrokerEngine login email address, you might not be able to sign documents in the Client Portal. For example, if you log in to BrokerEngine with kim@example.com, the email address on the Contact Details page MUST also kim@example.com.

Connecting with your DocuSign account

Go to the bottom left corner and click the account icon. In the Settings panel, click Integrations. Scroll down to DocuSign, click the logo to expand the folder, and click to Login to DocuSign.

If you don't see the DocuSign option, email support@brokerengine.com.au to enable this integration.

BrokerEngine opens a connection to DocuSign in a pop-up window to allow you to log in to the service and authorise BrokerEngine. Note that BrokerEngine doesn't see or store your DocuSign login details. Instead, it uses a DocuSign token to authenticate your account when it needs to send a document for you.

Log in using your DocuSign credentials.

Grant BrokerEngne access.

Once the integration completes, the BrokerEngine widget looks like this:

For support users, please ensure the Broker/s you work with have integrated their accounts with their DocuSign accounts.


Configuring DocuSign

There is no specific configuration on DocuSign that you must complete for the integration to work. However, setting up templates and email notifications can make your integration smoother and easier to work with.

Turn off email notifications

DocuSign sends out emails to notify signers when it has an envelope (a package of documents) for them to sign, an envelope is completed, and for several other events. Click here to learn more.

Use document templates you previously created in DocuSign

You can send documents from BrokerEngine based on templates created in DocuSign. Click here to learn more.


Uploading documents to the Client Portal

  1. Click ADD NEW DOC. A new window displays.

  2. Click the Request Type field and select DocuSign.

Upload a file.

  1. Click Set up signatures.

  2. Select the best template for each party (e.g. Needs to Sign or Receives a Copy).

  3. Click Next.

From here, you no longer need to set up the sign tabs and dates, as DocuSign automatically uses the sign tabs and dates in the template.

A DocuSign window opens. Optionally, you can add documents or edit the recipients and message text. When the message package is complete, click SEND NOW.
