Get a quick overview of your workflow structure

BrokerEngine relies heavily on workflows to help with automation and delegation. Although the Workflow Templates page does a nice job listing each individual file, getting a sense of how each template is structured and how they relate to other workflows is not really possible on this page. That's why we created the Workflow Diagram tool. It graphically displays the structure of each workflow grouped by board type so you can get a quicker understanding of the big picture.

Opening the workflow diagram page

  1. Click the account icon (with your initials).

  2. In the Settings panel, select Workflow.

  3. Click Workflow Templates.

  4. Click the Workflow Diagram button.


Reviewing diagrams

Go to the top of the screen and select a tab to display workflows related to a dashboard. Click and drag the scroll bar at the bottom of the window to see all the workflows.

Previewing

Optionally, you can preview a step in a workflow. Hover the mouse and click anywhere on the grey area.

Editing

To update a workflow:

  1. Go to the top of a workflow and right-click the name. The file opens in a new browser tab.

  2. On the next page, switch off the Published toggle.

  3. Make changes as required.

  4. Click Save and switch on the Published toggle.

Exporting

You can download the entire diagram in a PDF document. Click the Export to PDF button. BrokerEngine saves the file to your device.


Reading the colour code

Colour codes identify different step types.

  • Dark blue envelope - Send an email.

  • Yellow clock - Set a time delay between the previous step and the next one.

  • Green list - Create a task.

  • Red people - Assign to a team.

  • Purple ticket - Add a tag to the client record.

  • Orange papers - Send a document stack to a client.

  • Pink cog - Custom workflow step.

  • Grey document- Archive the record.
