Set Up an Automated Birthday Email

A short birthday message might seem small, but for brokers, it can make a big impact. With BrokerEngine, sending automated birthday greetings is an easy way to show clients you care, stay top-of-mind, and strengthen relationships.

This article shows you how to set up an automated review that sends clients a birthday message. It's a two-step process.

Enabling platform settings

The first step is to confirm or configure platform settings that will enable a birthday message workflow.

Go to the bottom left corner and click the account icon. Click Settings > Contacts > Client Reviews. Scroll down to the Client Birthday Reviews heading.

  1. Switch on the toggle to enable the feature.

  2. Enter the number of days before a birthday to send a message.

  3. Click the Stage field and select Review in Progress.

  4. Click Save.


Creating a workflow

Next, create a trigger with an email message template.

  1. Click the account icon (with your initials).

  2. Go to Settings > Workflow > Workflow Templates.

  3. Click the New button. The Workflow Builder page displays.

Selecting a trigger

Name the workflow and select a trigger. Go to the Name field and enter a unique name for the workflow (e.g. Birthday Review).

Click the first field and make sure Review Stage Enters is enabled. Go to the next field, scroll through the list, and select 0 Review in Progress.


​Creating a trigger

Scroll down to the Workflow Steps heading and click the Add Step button. In the menu, select Email.

Click the Email Template field and select Birthday email. To review and edit the template, click the three-dot icon and select Edit.

Reviewing the message

You can update the settings (like the From and To fields) and change the message. Optionally, expand the Contact folder and drag mail merge fields to the body field to customise the message. When it all looks good, click Save Changes.

On the Workflow Builder page, click Save and then switch on the Published toggle to activate the automated workflow.
