Create and Edit Document Stacks

Save time by bundling related documents and sending one request

If you frequently send the same document requests to clients, you can streamline the process by using document stacks. A document stack is a bundle of templates that can be sent in one request. For example, you might routinely send out the same five templates as part of your initial information collection process. Instead of loading and publishing each template separately, you could save a bit of time (and reduce errors) by publishing one stack (i.e. bundle). This article shows you how.

Video walkthrough

Learn how to create a document stack.

Creating a new document stack

  1. Open a lead or deal in full mode (i.e. double-click the name).

  2. Make sure Overview > DealDash is the active page.

  3. Go to the FinanceVault widget and click the arrow icon.

  4. Go to the top of the page and click ADD DOC STACK.

In the pop-up, enter a unique name. Click Add Document Stack.

BrokerEngine opens the EDIT DOC STACK panel.

Adding templates to a stack

Next, move existing templates into the empty stack.

Go to the search bar in the TEMPLATES pane. Enter a template name. Locate a file and click the Add to Stack icon. BrokerEngine moves the template to the stack. Repeat to add more files.

You can also use the mouse to drag templates to the stack.

When the stack is complete, click Save.

Editing a stack

After you save a stack, the editing tool closes. You can leave the page and edit a stack at any time. To edit an existing stack

Open FinanceVault and go to the TEMPLATES pane. Click the drop-down field, select the stack you want to update, and click Edit. BrokerEngine opens the editor in the centre pane. Make changes to the document stack and then click Save.

Adding a new document

You are not limited to the templates that BrokerEngine provides out of the box. You can create your own reusable templates within your document stacks.

Open a document stack in edit mode (see above). Click ADD DOC CATEGORY.

Fill in the fields. Click Add Document and then click Save.

Form fields

  • Document label: Give the document a unique name. You and your client can see this name.

  • Body: Add instructions for the client.

  • Request Type: Click the field and select an option. Usually, select General or the name of the product integration that you will be using with the document.

  • When Due: Click the field and select a stage option.

  • Shared With: The field is pre-populated with two merge fields (Primary Applicant and Co-Applicant). To change the parties, click the field and select one or more options on the drop-down.

  • Attachments: Upload one or more documents.

After you click Save, BrokerEngine adds the document to the stack.

Using a document stack

Inside FinanceVault, select the document stack you would like to send to a client.

You have two options.

  • If you want to send some but not all of the documents in the stack, individually move each template from the stack to the DOCUMENT REQUEST pane.

  • To send all the documents, click REQUEST ALL.
